How Automation Improves Adaptability to University Service Delivery

As Universities continue to look for ways to increase adaptability and reduce costs, automation may provide a solution that can help them achieve both goals. Whether it's chatbots or expense processing tools, advanced software can help universities maximize their resources.

Artificial intelligence and machine learning algorithms automate processes without human intervention. Robotic process automation (RPA), for example, is designed to add speed and efficiency to repetitive, tedious tasks. The service departments, for example, deal with the bulk of student applications and requests. RPA applications can be sorted automatically and instantly. The ability to learn from experience allows algorithms to categorize applications more accurately as they go, such as regular decisions or early decisions.

As a result of the pandemic, universities abruptly ceased operations, reminding us that institutions must be flexible and ready for a variety of possible crises. Automating certain services can have the benefit of continuing to function even when humans cannot; for example, after a natural disaster hits the university. A chatbot can be used to answer questions regarding financial aid and admissions through automated responses. A staff member can easily approve or deny a student's request on the ERP by automating responses to routine requests. Afterwards, the system either sends an email to the student or moves the workflow along to the next person for approval. As staff adapt to online instruction, time savers like these can be invaluable. Automated systems also offer another major benefit, namely the ability to easily gather data, which can then be analyzed to further improve operations.

The second benefit contributes to digital transformation's data-driven decision-making process. Institutions can modernize outdated and cumbersome processes by putting in place the right software and systems and, in turn, offer a faster and more user-friendly experience to students and staff.
